LaunchBox Privacy Policy

1. Introduction
This Privacy Policy describes how LaunchBox collects, uses, discloses, and safeguards information collected through our websites (launchboxcollective.com, launchboxmediagroup.com, and affiliated domains — the "Sites") and at our premises at 2726 Lipscomb Street, Fort Worth, Texas.
Data controllers. The entities responsible for data collected in connection with LaunchBox services are:

LaunchBox Collective LLC ("LBC") — a Texas limited liability company; data controller for facility, equipment, event, membership, and coworking bookings.

LaunchBox Media Group LLC ("LBMG") — a Texas limited liability company; data controller for production, engineering, LaunchBox Music, and Brand Paths agency services.
LBC and LBMG are operating subsidiaries of LaunchBox Holdings LLC, held by the Pfahlert Family Private Trust. In this Policy, "LaunchBox," "we," or "us" refers to LBC and LBMG together.
By using the Sites, booking services, attending events, or entering our premises, you acknowledge that you have read and understood this Policy.
2. Information We Collect
a. Information you provide directly:

Identifiers: name, email, phone number, mailing address, membership account credentials.

Commercial information: booking history, service preferences, membership tier, event attendance.

Payment information: credit card details, billing address, and related data (processed by Stripe and Wix Payments; LaunchBox does not store full card numbers).

Communications: messages, inquiries, feedback, form submissions, survey responses.

Professional information: for clients and contractors — business details, project scope, creative briefs, talent releases.

Content submitted: images, video, audio, or written material you provide for production or publication.
b. Information collected automatically on our Sites:

Technical data: IP address, browser type, device identifiers, operating system, referring URL, pages visited, session duration.

Cookies & tracking technologies: essential cookies (site functionality), analytics cookies (Google Analytics, Wix Analytics), and — where applicable — advertising cookies (Meta Pixel, Google Ads). See § 6.

Location data: approximate location derived from IP address.
c. Information collected on-premises:

Security camera footage: video recording of interior and exterior common areas for safety, operations, and liability purposes. Retained for up to 90 days in the ordinary course; longer if preserved for incident investigation, insurance claim, or legal request.

Production media: photographs, video, and audio recordings captured during operations, events, or productions, including of visitors and guests. See Terms & Conditions § 4b.

Check-in and access records: membership keycard logs, event registration records, visitor logs.
d. Information from third parties:

Platform integrations: data from Wix Bookings, Google Calendar, ClickUp (for clients), and similar operational tools.

Social sign-in: if you sign in using a third-party account (Google, Facebook), the information that service shares per its own privacy policy.
3. How We Use Information
We use information to:

Operate the Sites, process bookings, deliver services, and fulfill contracts;

Communicate about bookings, memberships, services, and operational matters (transactional, not requiring opt-in);

Send marketing communications (only where you have opted in — see § 7);

Improve services, develop new offerings, and analyze usage patterns;

Produce, market, and display creative work per our Terms & Conditions and Master Terms & Conditions;

Maintain facility safety, security, and insurance compliance;

Comply with legal obligations, respond to lawful requests, protect rights and property, and enforce our agreements;

Detect and prevent fraud, abuse, or unauthorized access.
4. Legal Bases for Processing (EU/UK Visitors)
Where GDPR applies, we process personal data on the following legal bases:

Contract performance — processing necessary to deliver services you have booked or requested.

Legitimate interests — improving services, security, fraud prevention, marketing to existing clients (subject to opt-out).

Consent — marketing to new subscribers, non-essential cookies, media release for minors.

Legal obligation — tax, accounting, regulatory, and lawful-request compliance.
5. How We Share Information
LaunchBox does not sell your personal information. We share information only as follows:

Service providers and processors — hosting (Wix), payment processing (Stripe, Wix Payments), analytics (Google Analytics), email delivery (Wix, Mailchimp where applicable), project management tools (ClickUp, Frame.io), and similar vendors bound by confidentiality and data-processing obligations.

Professional advisors — attorneys, accountants, and insurers as needed.

Legal and safety — to comply with law, respond to lawful requests or subpoenas, enforce our agreements, or protect rights, property, or safety of LaunchBox, members, clients, or the public.

Business transactions — in connection with a merger, acquisition, reorganization, or sale of assets among LaunchBox operating entities or to a successor entity (with notice to you where material).

Between operating entities — data may be shared between LBC, LBMG, LaunchBox Holdings LLC, and PFPT as needed for unified operations.

With your consent — for purposes you specifically authorize.
6. Cookies & Tracking
Our Sites use cookies and similar technologies. Categories include:

Strictly necessary cookies — required for core site functionality (session management, checkout). Cannot be disabled.

Analytics cookies — Google Analytics, Wix Analytics; used to understand site usage.

Advertising cookies — Meta Pixel, Google Ads; used where we run paid advertising campaigns.
You can control cookies through your browser settings, though disabling strictly-necessary cookies may break site functionality. Where legally required (EU/UK/CA), we will present a cookie consent banner on first visit.
7. Marketing Communications

Transactional communications — booking confirmations, service notifications, membership updates, invoices, and operational notices are sent as part of service delivery and do not require opt-in.

Marketing communications — newsletters, promotional emails, and event announcements are sent only where you have opted in (e.g., signed up for our newsletter) or are an existing client under legitimate interest.

Opt-out — every marketing email includes an unsubscribe link. You may also opt out by emailing hello@launchboxcollective.com.
8. Media Consent & Right of Publicity
By entering LaunchBox premises, you consent to being photographed, filmed, or audio-recorded as detailed in our Terms & Conditions § 4b. That consent includes a perpetual, royalty-free license for promotional and operational use, and a waiver of claims under the Texas right of publicity (Tex. Prop. Code §§ 26.001–26.015 and common law).
Minors under 18 appearing in LaunchBox-produced media require a signed parent/guardian release. Ask staff for a release form.
9. Your Rights & Choices
Depending on your location, you may have the following rights:

Access — request a copy of personal data we hold about you.

Correction — request correction of inaccurate data.

Deletion — request deletion, subject to legal and operational retention requirements (e.g., tax records, contract records, security footage under investigation).

Opt-out of marketing — unsubscribe at any time.

Data portability — receive data in a structured, commonly-used format (where applicable).

Non-discrimination — we will not discriminate against you for exercising these rights.
California Residents (CCPA/CPRA)
California residents have additional rights including the right to know categories of personal information collected, sold, or disclosed (we do not sell personal information), the right to delete, the right to correct, and the right to limit use of sensitive personal information. To exercise these rights, email hello@launchboxcollective.com.
EU/UK Residents (GDPR)
You have rights of access, rectification, erasure, restriction, portability, objection, and to lodge a complaint with your national data protection authority. You may also withdraw consent at any time where processing is based on consent.
Texas Residents (Texas Data Privacy & Security Act)
Texas residents, where the Act applies, have rights to access, correct, delete, obtain a portable copy, and opt out of targeted advertising, sale of personal data, and profiling for consequential decisions. To exercise these rights, email hello@launchboxcollective.com. We will respond within 45 days.
To submit any rights request: email hello@launchboxcollective.com with the subject line "Privacy Rights Request." We may need to verify your identity before responding.
10. Data Security
We maintain commercially reasonable administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit (TLS/SSL), access controls, vendor due diligence, and limited access to personal data on a need-to-know basis. No system is perfectly secure; we cannot guarantee absolute security of transmitted or stored data.
11. Data Retention
We retain personal information only as long as necessary for the purposes described in this Policy or as required by law:

Booking and transaction records — at least 7 years (tax and contract retention).

Membership records — duration of membership plus 3 years.

Security camera footage — up to 90 days in the ordinary course; longer where preserved for investigation, claim, or legal request.

Marketing communications data — until you opt out.

Website analytics data — per provider retention settings (Google Analytics: typically 14 months).

Production media and client project files — per Master Terms & Conditions § 6; indefinitely where LBMG retains IP ownership.
12. Data Breach Notification
In the event of a security breach involving unauthorized access to sensitive personal information, we will notify affected individuals and relevant authorities as required by applicable law, including within 60 days where required by Tex. Bus. & Com. Code § 521.053 or applicable state law.
13. Children's Privacy
The Sites and services are intended for individuals 18 and older. We do not knowingly collect personal information from children under 13 through the Sites. LaunchBox may photograph or film minors on premises as part of operations, productions, or events, which requires a signed parent/guardian release for any media use.
14. Third-Party Links
The Sites may contain links to third-party websites, services, or platforms. This Policy does not apply to those third parties. Review their privacy policies before providing information.
15. International Users
LaunchBox is based in the United States, and data is processed in the United States. If you access the Sites from outside the U.S., you understand your information will be transferred to, stored, and processed in the U.S. Where required, we use appropriate safeguards for international transfers (Standard Contractual Clauses for EU/UK transfers).
16. Changes to This Policy
We may update this Policy periodically. The current version is posted at launchboxcollective.com/privacy with an effective date. Material changes will be communicated via email to active members or via on-site notice. Continued use after the effective date constitutes acceptance.
